Why it is different
A private client can look at their own garden and decide what they are willing to live with. On a managed site nobody has that luxury. Residents, tenants, staff, trustees and visitors all form a view of the place from the grounds, usually before they reach the door, and when the grass has not been cut or wet leaves have been left across the steps, it is not the contractor who hears about it first. It is you.
What is actually being bought, then, is predictability. Visits happen on the pattern we agreed, in the weeks we said, without anyone having to ring round and find out where we are. The standard holds in February as well as in June. If something changes on site, a fallen branch, a blocked gully, a hedge that has begun to obstruct the view at the entrance, you hear it from us rather than from a complaint.
Continuity does the rest. Grounds that pass between contractors every couple of years never really move forward, because each new team spends its first season working out where the drains run, which bank cannot be mown safely when it is wet and which boundary the neighbouring owner takes an interest in. Keeping the same people on a site means that knowledge stays with the place, and the work improves instead of simply repeating.
The last part is documentation, because you have to be able to show your work as well as ours. A schedule set out in writing, an insurance certificate on file, a record of what was done on each visit and photographs where they help. When a resident, a landlord or a committee asks the question, the answer is already in front of you.


Sites this suits
Different sites want different things from their grounds, and the visit pattern should reflect that rather than the other way round.
Residents are at home all day, and the grounds are looked at through windows far more than they are walked through, so presentation matters every week rather than before an inspection. The practical side carries just as much weight: paths and steps kept clear of moss and wet leaves, nothing left lying where somebody could catch a foot on it, machinery kept well away from people, seating areas and turning space usable. We keep out of the way while we work, and we take it for granted that somebody who lives there will come out and ask what we are doing.
Larger ground with a mix of everything on it. Formal areas near the house, long boundary hedges, rougher grass, drives, courtyards and often water. Elliott worked in professional grounds and estate care before starting the business, and the habit of planning a year at a time comes directly from that. This is the sort of site where it shows. The areas people see are held consistently right, while the wider ground is kept in order on a sensible cycle.
The grounds are the first thing a visitor sees and the last thing anyone credits when they are right. Entrance beds, car park edges, grass and hedging read as one impression, so the value lies in keeping that impression level all year rather than in occasional heavy tidying. Where it is practical, visits can be arranged around the working day and around when the parking is full.
Where a managing agent answers to leaseholders or tenants, the grounds are one of the few parts of the service charge that everybody can see for themselves. Shared lawns, edges, parking areas, bin stores and boundary hedges need a steady rhythm rather than a scramble before a residents meeting. A written schedule and a record of visits make the arrangement easy to explain when somebody asks what they are paying for.
Committees usually have willing volunteers, a mower and more ground than time. A small number of scheduled visits through the year, with the heavier work taken off the volunteers, long hedge runs, edges, hard surfaces and autumn leaves, tends to hold a site better than one annual working party. Everything is set out in writing, which helps when it has to go in front of a committee or a trustee meeting.


Scope
Grass is usually the backbone of the arrangement, because it sets the impression of a site week to week. On larger areas that means cutting to a consistent height at a frequency that suits the growing season, with edges strimmed and finished around kerbs, posts, bin stores, benches, tree bases and all the other obstacles that make a site look neglected the moment they are missed. Clippings are dealt with rather than left in rows across the surface. Rougher grass, banks and wider ground can be cut on a longer cycle where that suits the site and the way it is used, which keeps both cost and disturbance proportionate to what the area is for.
Hedging is often the single largest job on a commercial site, and long runs need planning rather than an afternoon. We cut boundary and formal hedging to a clean line and an even face, clear the arisings away from the base instead of leaving them to rot into it, and keep entrances, junctions, signs, lighting and footpaths clear of growth that blocks a view or narrows a route. Hedge work is timed to suit the plant and to respect the nesting season. Shrub beds and borders receive the same attention they would in a private garden: pruning in the right window, weeding before seed sets, cutting back, mulching where agreed, and seasonal bed work where a site has planting that is meant to change through the year. Where borders have been left alone for years, we would rather restore them properly once than keep trimming politely around the problem.
Paths, courtyards, car parks, drives and steps are half of how a site reads, and they are also where most of the safety risk sits. We sweep and clear them, stay on top of weed and moss growth, and jet wash where a surface needs more than sweeping, either within the plan or as a separate piece of work depending on the area involved. Autumn is handled as a programme rather than a single visit, with repeated leaf clearance across the season, because leaves on steps and in gullies become a hazard and a drainage problem well before they become an appearance problem.
Where there is a pond or a water feature, routine care can sit inside the visit pattern. Surface debris, tidying marginal planting, keeping an eye on levels and noting anything that is visibly changing. Draining, deep cleaning, silt removal and repair call for different equipment and a different timescale, so they are priced as work in their own right rather than absorbed into the grounds hours. Green waste is agreed at the outset. Composting in a suitable corner of the site is usually the sensible route where there is room for it, and removal from site is arranged and priced where the volume makes that the only practical answer.



How it is set up
Nothing is priced from a photograph, and nothing starts before it is written down.
We walk the site with you, look properly at every area you want covered, and work out what it genuinely takes to hold it to the standard you need. Access, parking, machinery movement, where people and vehicles are during the day, waste, water and anything that has been allowed to slip all come out of that walk.
You receive the schedule in writing: the areas covered, what happens in each of them, how often we visit, what falls outside the plan and would be priced on its own, and what the year costs. Larger sites are normally priced for the year and invoiced monthly, so the cost sits level across the months and can be budgeted against rather than rising and falling with the season.
Once it is agreed, the site has a fixed place in the schedule, and on the days we are there the grounds are our responsibility. The pattern is heavier through the growing season and lighter in winter, and the balance of a visit shifts as the year turns. Genuinely unsafe weather or ground conditions occasionally mean a visit is better moved than forced, and we will tell you when that happens rather than leaving you to notice.
Where grounds have been neglected, routine visits alone will never catch up with the backlog, however diligently they are carried out. In that case the first year is written as a restoration programme. The heavy work, hedges brought back to line, beds cleared and replanted where that is right, surfaces properly cleaned, accumulated waste dealt with, is scheduled through the year alongside the routine cycle, so the site is visibly better twelve months in rather than merely held still.
We keep a record of the visits and the work completed, take photographs where they show something worth showing, such as an area before and after restoration, and pass on anything we have noticed on site. It gives you something to put in front of residents, a landlord or a board without having to take our word for it. Once a year we sit down with you and look at whether the schedule still matches the site.


Standards
Suffolk Garden Maintenance holds public liability insurance. The certificate, which states the sum insured, is provided with the proposal, and a current copy is available whenever you need one for your records.
Where a job calls for a qualification, a ticket or equipment we do not hold, tree work being the usual example, we tell you and bring in somebody qualified rather than attempting it ourselves. We do not claim accreditations we do not hold. It is a firmer line than parts of this trade take, and it is the one you want from anybody working on a site you are answerable for.
Most commercial work happens while a site is in use, and that shapes how we work more than anything else does. Machinery is kept away from people and parked cars. Strimming and blowing are positioned and timed so that debris does not travel towards anyone walking past, or towards windows and vehicles. Tools and leads are not left lying across a route. Gates are shut behind us, and access ways, fire routes and parking spaces stay clear. We look at a site for its practical risks before the first visit and look again whenever something changes, and if we think an area is genuinely unsafe to work in the way it is currently arranged, we will say so instead of working around it quietly.
People will talk to us, and on a care or retirement site in particular the person cutting the grass may be one of the few faces somebody sees that day. We expect to stop, answer the question and be patient about it. We also clear up before we leave, on every visit, because a site that has been worked on should look finished at the end of the day rather than the following morning.
